Role Introduction
Actively support the Manager to achieve area objectives and Key Performance Indicators by providing high quality, accurate and timely professional assistance consistent with the operating practices of the organisation.
Key Responsibilities
Office Administration
- Consistently provide high quality administrative support to the Area Manager
- Drive and deliver specific projects for the Area Manager as required
- Coordinate events and employee functions as required (e.g. annual party)
- Provide administrative and logistical support to secondees with moving to and from the area
- Coordinate tenancy issues for secondees
- Provide office Outlook and equipment maintenance as required
- Act as the Administration Coordinator in Emergency and Accident situations
- Coordinate and manage Town Office Business Continuity Planning readiness as required
- Appointment as Fire Warden and First Aider for the Town Office
- Assist in coordination with local government for various kinds of certification as required
Finance
- Assist the Area Manager and the Central Finance Team in the preparation of forecast, budget, annual audit report, risk assessment and other ad hoc reports as required
People
- Review and manage drivers’ performance and provide on time coaching on safety and service
- Assist in coordination of recruitment process and assist on-site support
- Verify the original documents to be kept in employee personal files
- Collect and verify original supporting documents for leave applications such as Sick Leave certificates from individual employees and file the documents in a timely manner
- Keep training records of individual employees for the responsible ports
- Perform other ad hoc assignments as requested by Central People Team
E&A
- Emergency and Accident and Crisis Response responsibilities as required
Requirements
Academic Qualifications
- College degree is desirable
- Tertiary qualification in a related administration or business discipline is an advantage
Knowledge, Skills, Training and Experience
- At least 3 years’ experience in an administration role
- Demonstrable experience in successful relationship building across remote offices
- Attention to detail with a high level accuracy
- Proven ability to deal with sensitive information with discretion and maintain confidentiality at all times
- Flexibility in adapting to different management styles
- Sensitive and responsive to the requirements of different cultures and personalities
- Ability to work independently with little supervision
- IT literacy and is fully conversant in the use of Microsoft applications; Word, PowerPoint, Excel, Outlook and Internet Explorer
- Strong communication and interpersonal skills
- Strong sense of responsibility
- Good planning and organisational skills
- Good command of both spoken and written English
