Position Overview
The incumbent will be responsible for managing all administrative and operational support functions related to pilots. This includes comprehensive leave planning, database management, compliance reporting, payroll coordination, and interdepartmental communication. The role demands precision, confidentiality, and proactive problem-solving to ensure smooth functioning of pilot operations. Since this role plays a critical role in managing and coordinating administrative functions for the pilot workforce. This position ensures seamless execution of leave planning, database management, compliance reporting, and interdepartmental coordination, contributing to operational efficiency and regulatory adherence.
Qualifications & Experience
Education : Graduate (preferably with an aviation background)
Experience : Preferably 2 years of experience
Preferred Exposure : DGCA regulations, pilot rostering, and compliance processes, Aviation experience preferred in administrative or operations roles (would be an added advantage)
Technical Skills
Advanced proficiency in Microsoft Excel (Pivot Tables, VLOOKUP, Data Analysis)
Strong command of MS Word & PowerPoint for reporting and documentation
Familiarity with crew management systems and aviation software (preferred)
Key Responsibilities
1. Leave & Rotation Management
• Plan and implement pilot leave schedules and rotation programs aligned with induction and operational requirements.• Ensure accurate leave updates and minimize NA (Not Available) days through proactive planning.
2. Database & Compliance
• Maintain and update pilot database, relocation details, and positioning flights.• Ensure timely submission of DGCA correspondence and MIS reports, including seniority lists and NA monitoring.
3. Payroll & HR Coordination
• Share accurate payroll inputs (unpaid sick leave, leave without pay, NA cases) with HR/payroll monthly.• Follow up on NA cases with the training department and advise HR/payroll accordingly.
4. Logistical Support
• Coordinate duty travel tickets, hotel accommodation, and transport with Crew Logistics and Admin Services.
5. Administrative Support
• Develop and maintain an efficient electronic filing system.• Handle pilot and departmental queries promptly and professionally.• Plan meetings and monitor email communications effectively.
6. Reporting & Process Improvement
• Prepare and submit MIS reports on time.• Identify gaps and suggest process improvements for operational efficiency
Specific Requirements for the Role
