The role we are offering you: (12 months contract)

We are looking for someone who is passionate to be the extension of our Executive Team and help one of our Vice-President to be on top of everything:

  • Provide administrative support to the VP.
  • Keeping the executiveu2019s calendar up to date, including adding events, rescheduling appointments.
  • Sort incoming and outgoing electronic communications.
  • Planning and organizing events for the department and support on team event (including social events).
  • Reserve conference rooms.
  • Coordinate travel requests and prepare related expense claims.
  • Create expense claims.
  • Create spreadsheets in Excel, edit and create letters in Word and Create PowerPoint presentations.
  • Maintaining a high degree of discretion and confidentiality.
  • Maintain and order office inventory supplies.
  • Collaborate with other executive assistants.
  • Keep track of the monthly budget for the department.

Our ideal candidate has:

  • College or professional degree in secretarial studies, or equivalent combination of related training and experience.
  • Five years previous experience as an administrative assistant, experience as an Executive Assistant would be an asset.
  • Excellent organizational and planning skills.
  • Multitasking skills.
  • Good attention to detail, team spirit, flexibility, tact, diplomacy, and ability to work in a fast-paced environment.
  • Take initiative, autonomous and willing to learn.
  • Ability to learn quickly.
  • Effective time management; autonomous and responsible.
  • Maintain high level of confidentiality.
  • Ability to interact with staff at all levels.
  • Ability to work in a fast-paced environment.
  • Flexible team player, willing to adapt to changes and unafraid of challenges.
  • Time management
  • In-depth knowledge of the Microsoft Office suite (including Word, Excel, PowerPoint, and Outlook).
  • Experience in creating PowerPoint presentation.
  • Excellent communication skills in both English and French languages (written and spoken).
