Qatar Airways is on the lookout for a self-driven and detail-oriented Administration Assistant to join our team in Ahmedabad, India!
The person will be responsible to oversee the day-to-day operations of the CDC office, manage administrative tasks to ensure office operates efficiently and smoothly. Responsible for office supplies, CDC procurement, reception and guest experience. Provide a range of administrative, logistical and organizational support to the CDC Ahmedabad. Manage and evaluate administrative requests in the department and ensure all are within corporate guidelines, including but not limited to PO, contracts management linked to the procurement process, manpower movements (SRFs/ interviews/ SMAs), Night Shift transport, Roster Management support, visitor management, back-up to Facility officer. Represent CDC through the management of correspondence, telephone and personal contacts. Support projects linked to CDC initiatives.
Responsibilities:
Perform various administrative duties to support requirements and maintain the department functions smoothly on a daily basis.
Coordinate and oversee all office activities and ensures adherence to relevant company procedures and policies. Independently manage multiple tasks and assigned projects whilst respecting the deadlines and simultaneously ensuring the integrity of all information and data.
Ensure that QR Visitor Management process is deployed effectively as per QR set standards to safeguard
QR premises and the set reception standards are maintained. Monitor performance, escalate issues and challenges, propose improvement options. Welcome and direct visitors, coordinate meetings and appointments.
Maintain a company calendar and schedule appointments linked to CDC team administration.
Manage meeting room bookings as required, ensure alignment with CDC functional needs.
Manage office supplies stock and place orders to ensure supplies are sufficient.
Ensure logistical support to visitors, arrange travel and accommodations, schedule in-house and external events.
Answer queries by employees and clients linked to office administration.
Provide business documentation support for office and facility related deliverables, including report writing, presentation creation and spreadsheet preparation and distribution of such materials.
Prepare regular reports on office administration expenses.
Organize a filing system for important and confidential company documents, ensure data privacy.
Support the facilities management of the QR Airways offices and Business Visa processing as and where required.
Arrange required office equipment for new and existing staff. Maintain records for assets and support asset count and reconciliation on site.
Support Contracts/PO management process, RFQ/RFP process requirements and support the Statement of Work (SOW) preparation for office related procurement and contracts as per business requirement.
Manage procurements and contracts end to end with regards to all requirements of the office. Engage reviewers and approvers. Ensure archiving and expiry control. Support renewals. Ensure contracts or Pos are in place for efficient running of the business environment.
Ensure all statutory compliances with regards to office management are in place.
Perform other department duties related to his / her position as directed by the Head of the Department
