The Business Assistant is responsible for general office duties that include Administrative, Accounting, Human Resources and Planning support, using data entry, record keeping, scheduling, and filing. This includes supporting business systems and activities while understanding the transactional flow throughout our systems (Outlook and Ebis).
ESSENTIAL RESPONSIBILITIES:
- Organize and record documentation physically and electronically.
- Assist Human Resource department with scheduling interviews, collecting information and documents related to the hiring process.
- Assist the Management Team with data inquiries, follow-up calls and appointments and preparing meetings and customer visits.
- Collaborate with the Chief Financial Officer to prepare support documentation for customer invoices, vendor payments and audit documentation.
- Ensure data records and documentation are organized and securely stored for research and distribution.
- Ability to mine for, manipulate and manage transactional level data.
- Use business concepts, experience, and industry knowledge to resolve issues in creative and effective ways and ensure that appropriate judgment is applied.
- Maintains and coordinates responsibilities to support internal and external contacts and audits.
- Assists in facilitating physical inventory, fixed assets, tooling audits, and monitors the cycle count process.
- Produce accurate and timely responses to internal customers by completing research and analysis of procedures and transactions. Must be able to validate and interpret results and summarize in a meaningful format.
- Participate in cross-departmental projects.
- Expedite Purchase Orders, contact Vendors/Suppliers to document lead times, status, delivery/receipt, and code invoices for Accounts Payable.
Requirements:
Bachelor’s or Associate Degree in Business, Human Resources, or Accounting
- Proficient in Microsoft Applications (Outlook, Excel, Word, PowerPoint & Teams)
- 2+ years of relevant experience in a business environment
JOB SPECIFICATIONS: To perform this job successfully, an individual should have a good knowledge of office procedures and equipment including copiers, calculators, scanners, and computers. Ability to prepare routine reports using MS Office.
SUPERVISION: Under general direction. performs assignment after receiving detailed instructions as to methods, procedures, and desired end results. Little room for deviation.
INTERPERSONAL RELATION: A moderate level of people skills is required to maintain an effective relationship with management and co-workers.
PHYSICAL ENVIRONMENT: Requires easy mobility around the aircraft hangar and the dexterity to move paperwork between storage racks or offices. Must be able to lift to 50 pounds occasionally and report to work on assigned shift schedule.
